Position Summary

This role involves senior or lead performance level administrative, technical, and secretarial tasks. The position supports one or more executive administrators by providing clerical and secretarial assistance, organizing and executing assigned duties, maintaining unit records, and performing non-routine and technical tasks that require decision-making.

Minimum Educational Requirements

High School diploma or GED

Relevant Experience

  1. Minimum of 3 years of progressively responsible experience in general office and secretarial functions with a focus on customer service.
  2. Experience in processing invoices.
  3. Proficiency in document filing and archiving.
  4. Experience in ordering supplies.

Essential Knowledge

Fundamental understanding of mathematical computations and techniques necessary for collecting, organizing, and reporting information/data in both narrative and statistical formats; familiarity with standard budgeting and accounting systems; proficiency in personal computer hardware and office software, including Microsoft Office suite and financial (ERP) software such as Workday, Banner, etc.

Key Qualifications:

  • Strong written and verbal communication skills, with the ability to engage effectively with individuals from diverse educational, cultural, and social backgrounds.
  • Act as a liaison between the administrator and department/office staff, as well as external organizations.
  • Maintain and update databases and/or tracking systems for files, correspondence, or issues requiring immediate attention and follow-up.
  • Conduct research on files and records, compiling data, memos, notes, and reports for supervisory review and/or signature.
  • Demonstrate effective time management skills.

Job Responsibilities:

  • Oversee office functions and prioritize tasks effectively.
  • Execute a wide range of complex administrative support duties.
  • Responsibilities may vary in complexity from routine tasks to projects requiring significant research and analysis.
  • Provide support for processes, communications, meetings, and related activities.
  • Manage department budget, order office supplies, and process related invoices.
  • File and archive documents appropriately.
