Executive Administrative Coordinator

We are seeking a dedicated and trustworthy Executive Administrative Coordinator to support our organization in fulfilling its mission. This role involves managing the administrative functions and daily operations, ensuring a smooth workflow within the organization. Key Responsibilities:

- Provide comprehensive administrative support to the executive leadership and management team.
- Maintain and organize records and information efficiently.
- Oversee the planning and upkeep of workspaces.
- Handle incoming calls, manage voice messages, and return missed calls.
- Perform errands as needed.
- Foster effective communication across departments.
- Carry out various office tasks, including replenishing supplies and managing mail.
- Schedule appointments and coordinate events.
- Welcome and assist visitors on-site, adhering to health guidelines.
- Answer incoming phone inquiries.
- Develop and maintain systematic filing systems.
- Execute additional office-related tasks as required.
Qualifications:
- Previous experience in administrative roles or related fields.
- Exceptional written and verbal communication abilities.
- Strong organizational skills with the ability to prioritize tasks.
- Capable of drafting formal correspondence and documents.
- Experience in scheduling and coordinating events.
- Ability to greet and assist visitors professionally.
- Proficient in answering phone calls and managing inquiries.
- Skilled in creating and implementing organized filing systems.
- Detail-oriented with a focus on deadlines.
- Possess strong leadership qualities.
- Open to learning and adapting to new challenges.
- Strong attention to detail and organizational capabilities.
- Familiarity with database management.
- Proficient in Microsoft Office Suite (Word, PowerPoint, Excel).
- Experience in social media management, newsletter design, payroll, and call center operations is advantageous.
