Senior Administrative Coordinator

We are seeking a highly skilled and experienced Senior Administrative Assistant to provide exceptional support to the Computer Science, Artificial Intelligence and Decision Making, and Electrical Engineering Faculty Heads. The successful candidate will be responsible for managing the day-to-day operations of the offices, serving as a point of contact for visitors, faculty, staff, students, and committee chairs, and collaborating with different constituents to organize departmental projects and functions.
Key Responsibilities- Manage the day-to-day operations of the offices, including coordinating meetings, events, and travel arrangements
- Provide exceptional customer service to visitors, faculty, staff, students, and committee chairs
- Collaborate with different constituents to organize departmental projects and functions
- Support faculty searches and annual reviews
- Manage department email lists
- Respond to inquiries related to policies and procedures
- High school diploma or equivalent
- Minimum of 5 years of administrative, office, or related experience, preferably in an academic environment
- Excellent communication and interpersonal skills
- Robust organizational, administrative, and time-management skills
- Ability to prioritize and problem solve
- Experience with event and meeting planning, arranging travel, paying invoices, ordering supplies, updating websites, account reconciliations, and expense reimbursements
- Proficiency in Microsoft Office and G-Suite
- Ability to work independently and as a team member
- Ability to exercise discretion and diplomacy with confidential information
- Bachelor's degree and MIT experience
- Experience with SAP and SAPweb
- Experience managing or leading others
This is a hybrid position and will work from campus four days per week during the academic year. Work minimal nights and weekends, and overnight travel may be required (~10%).
