Job Description

Ascend Talent Solutions is seeking a highly organized and detail-oriented Tenant Coordinator to support our property management team. The ideal candidate will have excellent customer service skills, strong communication abilities, and a proactive attitude.

Key Responsibilities:
  • Provide administrative support to the Director, Operations and Chief Engineer, as well as tenants as needed.
  • Act as the primary point of contact for tenant service requests and ensure timely resolution.
  • Enter tenant service requests into the work order system and maintain accurate records.
  • Verify and ensure compliance with Certificate of Insurance (COI) requirements for tenants and contractors.
  • Maintain the cleanliness and organization of the reception, lobby, and work areas.
  • Assist with management audits and prepare files and records for review.
  • Prepare and send mail and packages, as well as manage internal and external correspondence.
  • Create, maintain, review, and purge files in accordance with company record retention policies.
  • Update and file documents for vendors and customers, ensuring contract and lease administration files are accurate and up-to-date.
  • Maintain and update employee, client, and customer contact databases.
  • Organize departmental meetings and travel arrangements.
  • Enforce compliance with insurance requirements and document potential liability incidents.
  • Manage the new tenant welcome and orientation program.
  • Revised and distribute updated property manuals, including the Tenant Handbook, Team Handbook, and other relevant documents.
  • Perform ad hoc administrative tasks and process accounts receivable.
  • Obtain completed W-9 forms from vendors and initiate cost reduction programs.
  • Negotiate office equipment leases and maintenance agreements within budget guidelines.
  • Coordinate timely repair and maintenance of office equipment.
  • Track budget line items and resolve negative variances.
  • Prepare manual adjustment forms for tenant service requests and ensure accurate processing.
  • Ensure engineers take monthly readings from electric meters for tenants with supplemental units.
  • Enter data on tracking spreadsheets, calculate charges, and bill tenants accordingly.
Requirements:
  • 2+ years of Coordinator experience, with commercial real estate experience a plus.
  • Highly proficient in Microsoft Word, Excel, and Outlook.
  • Professional, reliable, flexible, and positive attitude.
  • Excellent attention to detail, strong customer service skills, and ability to prioritize tasks.
  • Ability to communicate effectively in written and verbal forms.
  • Proactive attitude and willingness to take on additional responsibilities.
  • Interest in real estate.
Education:
  • Bachelor's degree and similar work experience.
Benefits:
