Key Responsibilities:

  • Perform comprehensive secretarial and administrative tasks for attorneys with minimal oversight.
  • Handle firm administrative duties, including processing new client/matter requests, client invoices, time reports, and expense documentation.
  • Manage litigation-related tasks such as drafting correspondence, spreadsheets, presentations, and templates, including intricate formatting and document preparation for filing with various courts.
  • Maintain physical and electronic files, contacts, and case dockets for attorneys.
  • Coordinate meetings and appointments, ensuring proper reception of clients and guests.
  • Assist with incoming and outgoing correspondence.

Qualifications:

  • Minimum of three to five years of experience in a mid-sized or large law firm.
  • Proficient understanding of general office protocols and legal terminology relevant to assigned areas.
  • Experience with expense reporting, client billing, and CRM databases is preferred.
  • Advanced skills in word processing and various software applications, including MS Word, Excel, Outlook, and Adobe.

Skills:

  • Exceptional written and verbal communication skills, with a strong command of grammar, spelling, and punctuation.
  • Attention to detail, organizational skills, and the ability to manage multiple tasks effectively.
  • Strong phone etiquette and follow-through capabilities.

Education: High school diploma required; two years of college or equivalent preferred.

Working Conditions: Professional office environment with occasional overtime required.
