Position Overview:

Role: Event Coordination Manager

The Event Coordination Manager is a detail-oriented professional adept at managing multiple tasks while delivering exceptional client planning services for various events and group accommodations within the hotel. This role requires outstanding communication abilities and acts as a vital link between clients and the hotel, ensuring a consistent, high-quality service experience throughout all stages of property events, aligned with established guest service and sustainability standards.

Potential paths include Sales Manager, Director of Event Coordination, and Director of Sales.

Key Responsibilities:

  • Oversee the organization and management of assigned events and guest room accommodations from booking to departure.
  • Prepare Banquet Event Orders, Group Resumes, and Floor Plans promptly.
  • Manage group room accommodations, track cutoff dates, and attrition with support from the Group Rooms Coordinator.
  • Participate in weekly BEO, Resume, and other departmental meetings.
  • Coordinate with all departments to address and fulfill client needs.
  • Conduct property site inspections.
  • Plan and lead pre and post-event meetings with clients and relevant departments.
  • Anticipate and address customer expectations and concerns to ensure high-quality service delivery, customer satisfaction, and repeat business.
  • Prepare preliminary billing and manage payments in accordance with group contracts.
  • Oversee Delphi revenue, room block, and food & beverage forecasts with assistance from the Director of Sales and Marketing.
  • Adhere to sustainability practices in line with the company's environmental initiatives.
  • Follow safety protocols, utilize protective equipment, and comply with MSDS and OSHA standards.
  • Perform additional duties as assigned by management.

Qualifications:

  • Associate or Bachelor's degree preferred.
  • 1 to 3 years of relevant experience.
  • Familiarity with Delphi software is preferred.
  • Strong time management capabilities.
  • Excellent communication, organizational, and client relations skills.

Work Environment:

  • Work schedule may vary and includes weekends and holidays.
  • Physical requirements include standing for extended periods, walking, lifting up to 25 pounds, and various movements such as bending and reaching.
