Position Overview: As the Event Coordination Manager, your primary responsibility will be to ensure that all group and event bookings are executed flawlessly, providing our guests with outstanding experiences.

You will act as the key point of contact between the sales team, clients, and property staff, ensuring that all relevant details are accurately captured and communicated.

Key Responsibilities:

  • Establish and nurture long-term, mutually beneficial relationships with vendors involved in executing events at your assigned properties.
  • Finalize and communicate all details of group and event bookings, including rooming lists, resumes, and Banquet Event Orders (BEOs) to clients and property teams.
  • Facilitate communication between clients and on-site staff, as well as external vendors.
  • Oversee the booking of wedding-related group room blocks and events.
  • Meet and exceed quarterly and annual booking targets.
  • Deliver exceptional experiences for potential clients during site visits and familiarization trips.
  • Manage group billing processes, including deposit collection and final invoicing upon group departure.
  • Collaborate with the area sales team to maintain and enhance relationships with local Chambers of Commerce and Convention/Visitors Bureaus.
  • Foster positive working relationships with AutoCamp and Field Station team members.
  • Represent AutoCamp with professionalism in all client interactions, whether written, verbal, or in person.
  • Stay informed about local activities, market trends, and industry events.

Qualifications:

  • Minimum of 3 years of experience in the hospitality industry, with a preference for sales, catering, or conference services experience.
  • Experience in destination markets is preferred.
  • Familiarity with Sales CRM systems is advantageous.

Educational Requirements:

  • High school diploma or GED is required.

  • Have a history of developing and maintaining long-term client relationships.
  • Possess a working knowledge of cloud-based applications, with a preference for Google Suite products.

  • Have a genuine passion for the outdoors.
  • Exhibit strong in-person sales presentation skills.
  • Display thoroughness and a keen eye for detail.
  • Provide outstanding and attentive customer service.
  • Be resourceful and creative in problem-solving.
