The Role:
The Administrative Assistant plays a vital role in supporting the efficient operation of our office, providing administrative assistance to ensure seamless day-to-day operations.
Key responsibilities include managing complex schedules, organizing meetings, coordinating travel arrangements, and maintaining accurate filing systems.
The Administrative Assistant will serve as the primary point of contact for internal and external stakeholders, demonstrating exceptional professionalism and communication skills.
Essential Functions:
- Be aware and knowledgeable of program leadership schedules, appointments, and travel arrangements.
- Coordinate meetings, including scheduling, sending invitations, booking meeting rooms, and preparing necessary materials.
- Answer and direct phone calls, emails, and other correspondence to appropriate parties.
- Prepare and distribute correspondence, memos, letters, reports, and other documents.
- Assist in the preparation of presentations and reports.
- Maintain filing systems, both electronic and physical, ensuring proper organization and easy retrieval of documents.
- Assist in the preparation of expense reports and reimbursement requests.
- Coordinate office supplies procurement and manage inventory levels.
- Handle sensitive and confidential information with discretion.
- Perform general clerical duties, including photocopying, scanning, faxing, and mailing.
- Provide support to other team members as needed.
- Other tasks and responsibilities as assigned by supervisors.
Requirements:
- Strong written and verbal communication skills.
- Ability to prioritize tasks and work independently with minimal supervision.
- Attention to detail and ability to create and maintain systems of organization.
- Ability to adapt to changing priorities and deadlines.
- Commitment to professional development and proactive research.
- Proficiency in Microsoft Office and Google Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office equipment such as printers, copiers, and fax machines.
Compensation:
The pay range for this role is $20 - $20 USD per hour.
