Position: Clinical Administrative Assistant

Shift: Full-Time Day

Location: Cartersville

The Clinical Administrative Assistant operates under the guidance of the Manager or Supervisor, providing support to various department leaders. This role encompasses a diverse range of administrative responsibilities that require independent judgment, creativity, and initiative. The assistant plays a vital role in the operational functions of the departments, including the management of statistics, data collection, and analysis. Maintaining confidentiality is paramount in this position.

Core Responsibilities:
  • Deliver specialized administrative assistance to Physicians, APPs, and clinical personnel
  • Manage physicians' patient schedules and meetings, ensuring timely reminders for upcoming events
  • Request and transmit patient medical records, following up as necessary
  • Digitally archive all essential records into the EMR system
  • Support APP and clinical staff in maintaining patient flow through the clinic
  • Direct incoming calls from patients, physicians, or other healthcare entities appropriately
  • Review and assist with orders in EPIC/BEACON, gathering required information for providers
  • Submit and track tissue testing requests to external sources
  • Prepare the patient schedule for the following day
  • Demonstrate proficiency in taking and transcribing dictation, as well as operating office equipment
  • Uphold patient confidentiality at all times
  • Translate and interpret medical orders as needed
  • Perform additional duties as assigned to support departmental activities
  • Create and maintain spreadsheets for tracking departmental data and supplies
  • Manage various documents while adhering to confidentiality policies
  • Participate in departmental meetings, committees, and events
  • Compile financial and statistical reports as required
  • Monitor all Clinical Administrative Assistant order transcription and related tasks
  • Provide training on administrative duties and medical records requests
  • Coordinate specimen management and referral processes
  • Sort and distribute daily correspondence
  • Execute other assigned responsibilities as needed
Required Education:
High school diploma or equivalent required; Bachelor's degree preferred

Required Certifications:
All certifications must be obtained upon hire unless otherwise specified.

Experience:
A minimum of 3 years of front office or hospital experience is required; experience as an office coordinator in a physician's office is preferred.

Effective communication skills, both verbal and written; strong interpersonal skills; proficient in calendar management and organizational tasks; adept in computer applications; capable of gathering and reporting information; ability to manage multiple projects and set priorities; establish and maintain effective working relationships; work under pressure while presenting information clearly; interpret and apply hospital policies; identify problems and analyze information; prioritize and coordinate work activities; and possess a working knowledge of basic medical terminology.
