Role Overview

We are seeking a skilled Senior Administrative Coordinator to provide support to the VP of Sales & Marketing for Consumer Goods in North America. This position requires the ability to exercise independent judgment, maintain confidentiality, and pay meticulous attention to detail. Responsibilities include managing executive schedules, coordinating travel arrangements, and organizing business unit conferences and executive meetings. You will assist in the preparation of agendas, organize meetings and activities, and document meeting notes.

The ideal candidate should reside in the Philadelphia metropolitan area.

Key Responsibilities
  • Gather, verify, and analyze information for executive meetings, reports, presentations, and occasionally news releases.
  • Type, format, and proofread a variety of documents (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) accurately and promptly using various software applications.
  • Manage expense reporting for the VP of Sales & Marketing and their direct reports.
  • Prepare documents and presentation materials; handle incoming correspondence, inquiries, and phone calls; draft letters and official communications; arrange and attend meetings; take and distribute minutes while ensuring confidentiality of data.
  • Coordinate internal and external executive meetings to ensure smooth operations, including scheduling, travel arrangements, and necessary meeting amenities.
  • Oversee the appointments and schedules of the VP of Sales & Marketing and their direct reports.
  • Access the executives' email accounts to manage appointments and respond to routine inquiries from internal and external sources.
  • Maintain and update internal communication channels and participate in national communication networks.
  • Perform various administrative tasks, including maintaining office equipment, distributing mail, filing, data entry, and managing office supplies. Organize and prioritize your workload to ensure timely completion of tasks.
Qualifications
  • Bachelor's degree is required.
  • A minimum of 5-7 years of administrative experience, with at least 5 years supporting senior executives.
  • Exceptional verbal and written communication skills.
  • Strong time management skills with the ability to prioritize tasks with minimal guidance while meeting tight deadlines.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Microsoft Teams).
  • Experience in scheduling travel and coordinating meetings for executives.
  • A solid understanding of standard business practices.
  • Highly organized and efficient in managing multiple tasks simultaneously.
  • Meticulous attention to detail is essential.
  • Strong problem-solving, judgment, and decision-making abilities are required.
