Position Overview:
The Purchasing Assistant plays a crucial role in managing administrative responsibilities related to procurement and purchasing processes for commercial engine power products and services. This includes, but is not limited to, preparing purchase orders, ensuring timely delivery of goods, vendor forecasting, and cost management. Additionally, this role involves collaboration with various teams, including engineering and sales.

Key Responsibilities:
  • Promote and uphold HOLT's Values Based Leadership (VBL) principles to align with our Vision, Values, and Mission.
  • Assist project management and sales teams with various administrative tasks and projects.
  • Facilitate the procurement process by placing purchase orders with multiple vendors.
  • Monitor supplier performance regarding delivery schedules, potential delays, and ensure effective communication within PSD teams.
  • Collaborate with project management and sales teams to maintain strong vendor relationships.
  • Work alongside the sales admin and accounts payable teams to resolve invoicing issues with suppliers.
  • Provide accurate and comprehensive status reports on vendor activities as requested.
  • Contribute to forecasting and planning efforts alongside Sales, Sales Admin, and Engineering teams.
  • Perform additional duties as assigned.
Required Knowledge, Skills, and Abilities:
  • Proficient in Microsoft Office Suite, especially Excel.
  • Strong interpersonal skills to build effective working relationships across various departments.
  • Ability to work independently and take initiative.
  • Excellent verbal and written communication skills.
  • Outstanding customer service and interpersonal skills.
Education and Experience:
  • High school diploma or equivalent is required.
  • Preferred experience includes two or more years in purchasing or vendor relationship management.
Supervisory Responsibilities:
  • This position does not include supervisory responsibilities.
Travel Requirements:
  • Minimal travel, up to 5%, typically 1-2 times per year.
Physical Requirements:
  • This role may involve extended periods of sitting, with occasional movement within the office to access equipment and files.
  • Effective communication is essential, requiring the ability to exchange accurate information.
  • Visual acuity and manual dexterity are necessary for operating office equipment.
  • Occasional lifting of materials or equipment weighing up to 30 pounds may be required.
Work Environment:
  • This position is primarily office-based, in a controlled environment, involving the use of computers and office equipment.
  • Work may be performed at a fast pace with various interruptions, necessitating attention to detail and task management.
