Job Title: Administrative Coordinator

New Hanover County is seeking an experienced Administrative Coordinator to join our Emergency Management Department.

Job Summary:

The Administrative Coordinator will provide technical and administrative support to NHC Emergency Management staff during both routine operations and emergency response operations.

Key Responsibilities:
  • Coordinates document preparation and distribution by choosing appropriate forms and formats.
  • Assists with budget preparation and monitoring by preparing reports of revenue and expense forecasts and drafting budget amendments.
  • Processes grants and maintains budgetary documentation to include processing invoices, processing purchase orders, projecting budget needs, and providing quarterly reports.
  • Coordinates office records by interpreting retention policies and maintaining files.
  • Coordinates office schedules by scheduling meetings and making travel and training reservations.
  • Orders office supplies and equipment from appropriate vendors.
  • Collaborates with county staff, local and state agencies, organizations, and the public regarding the delivery of services.
  • Serves as the department's HR Interface, disseminating information to department head, supervisors, employees, and arranging for pick-up and dissemination of service awards, certifications, materials, etc.
Requirements:
  • Associate's Degree in Business Administration or related field, and three (3) years of related administrative experience.
  • Selected candidate(s) must successfully pass a fingerprint-based criminal history background check.
Preferred Qualifications:
  • Demonstrated knowledge of common state and federal grant reporting procedures.
  • Demonstrated knowledge and use of Tyler MUNIS products.
