Job Summary

We are looking for a highly organized and empathetic individual to manage our front desk operations, provide exceptional customer service, and support our growing caseload. As an Intake Specialist, you will be the first point of contact for clients and visitors, ensuring a professional and welcoming atmosphere.

Responsibilities
  • Client Relations: Greet clients and visitors warmly, maintaining a professional and welcoming atmosphere.
  • Phone and Email Management: Answer incoming calls and provide accurate information or direct inquiries as needed.
  • Scheduling and Coordination: Manage front desk operations, including scheduling appointments and coordinating meetings.
  • Client Intake: Conduct client intake interviews, ensuring thorough documentation of client information.
  • Administrative Support: Assist in managing incoming and outgoing correspondence, including mail and emails.
  • Team Collaboration: Collaborate with the team to support client matters and provide administrative assistance.
  • Marketing Support: Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms to help bring in new cases.
  • Case Management: Screen incoming potential client phone calls to ensure the case falls within the scope of the firm, while helping the caller feel heard and understood.
  • Appointment Scheduling: Set appointments for potential clients that meet our criteria to keep our lawyers' schedules organized and grow our caseload.
  • Data Entry: Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files.
  • Clerical Tasks: Perform miscellaneous clerical tasks as needed, including transcription, research, spreadsheet management, and email writing to ensure operational efficiency.
Requirements
  • Personal Injury/Medical Malpractice Intake Experience: Preferred
  • Lead Docket and/or Filevine Experience: A plus, will train
  • Bi-lingual English/Spanish Verbal and Written Communication Skills: Required
  • Associate or Bachelor's Degree: Preferred, experience in lieu will be considered
  • Strong Interpersonal and Organizational Skills: Must
  • Tech Savvy and Proficiency in Microsoft Office Suite: Must
  • CRM and Case Management Software Experience: Desired
  • Customer Service or Sales Experience: A plus
  • Outstanding Communication Skills and Sense of Empathy: Must
  • Previous Legal Experience: Highly valued
  • High School Diploma or Equivalent: Needed, while a Bachelor's degree is desired
