Position Title: Client Support Specialist

Reports To: Customer Relations Manager

Position Summary: We are looking for a personable, detail-oriented, and proactive Client Support Specialist to become a part of our dynamic team. The ideal candidate will excel in delivering outstanding client support, addressing inquiries, and enhancing the overall customer service experience.

Key Responsibilities:

  1. Client Engagement:
    • Address client inquiries through various communication channels in a prompt and courteous manner.
    • Provide clients with information regarding products, order updates, and general questions.
    • Resolve client complaints by offering suitable solutions and alternatives.
  2. Order Management:
    • Accurately and efficiently process client orders.
    • Collaborate with the logistics team to ensure orders are delivered on time.
    • Inform clients about their order status and any potential delays.
  3. Record Keeping and Reporting:
    • Maintain precise records of client interactions and transactions.
    • Compile and present regular reports on client feedback and service challenges.
  4. Team Collaboration:
    • Work in conjunction with other departments to address client issues and enhance overall satisfaction.
    • Engage in team meetings and training sessions to remain informed about products, services, and policies.
  5. Additional Responsibilities:
    • Assist in the formulation and execution of client service policies and procedures.
    • Contribute to ongoing improvement initiatives aimed at elevating the client experience.
    • Perform other related tasks as directed by the Customer Relations Manager.

Qualifications:

  • High school diploma or equivalent.
  • Exceptional communication and interpersonal abilities.
  • Strong analytical skills and attention to detail.
  • Capability to handle multiple tasks and prioritize effectively.
  • Familiarity with Microsoft Office Suite and client service software (e.g., CRM systems).
