Administrative Office Specialist

Position Summary: Tidal Basin is seeking a qualified candidate for the position of Office Coordinator to facilitate the daily functions of the office environment. The primary aim of the Office Coordinator is to manage routine office activities, which include ordering supplies, overseeing the sign-in and sign-out procedures, ensuring the security of the premises, and providing assistance to program staff and visitors.
In addition, the Office Coordinator will engage in basic IT setup tasks, such as configuring laptops, monitors, and docking stations. The selected candidate will collaborate with IT remotely to maintain updated office workstations and network equipment, as well as assist IT in setting up necessary office devices.
Key Responsibilities:
- Deliver administrative support to guarantee smooth operations.
- Handle phone inquiries, arrange meetings and appointments, and manage calendars.
- Perform administrative tasks, including the creation and maintenance of both electronic and physical filing systems.
- Draft communications such as memos, invoices, emails, reports, and other relevant correspondence.
- Fulfill operational requirements by scheduling and delegating tasks while ensuring timely completion.
- Demonstrate courteous and professional communication through phone, email, and postal mail.
- Maintain and update various databases and schedules.
- Assist the team by executing tasks related to organization and effective communication.
- Ensure equipment functionality by completing preventive maintenance, requesting repairs, managing equipment inventories, and evaluating new tools and techniques.
- Provide information by responding to inquiries and requests.
- Manage supply inventory by monitoring stock levels, anticipating needs, and placing orders as necessary.
- Contribute to team success by achieving related objectives as required.
- Exhibit the ability to prioritize and manage multiple tasks in a dynamic environment.
- Conduct minor IT setup tasks, including configuring laptops, monitors, and docking stations.
- Collaborate with IT remotely to ensure office workstations and network equipment are current.
- Assist remote IT personnel in the setup of office equipment.

Education and Experience Requirements:
- Associate's degree in Business Administration or a related field is advantageous.
- 2 to 5 years of experience in an administrative role.
- Proficient in Microsoft Office and other computer applications.
$38-$42.50 per hour
