Job Overview

Position Summary: Tidal Basin is seeking a qualified candidate for the position of Office Coordinator to facilitate the daily functions of the office environment. The primary goal of the Office Coordinator is to manage routine office activities, which include procuring supplies, overseeing the sign-in and sign-out procedures, ensuring the security of the premises, and providing assistance to program staff and visitors.

In addition, the Office Coordinator will engage in basic IT setup tasks, such as configuring laptops, monitors, and docking stations. The selected candidate will collaborate with IT remotely to maintain office workstations and network equipment, as well as assist IT in the setup of office devices as required.


Key Responsibilities:

  • Deliver administrative support to promote efficient office operations.
  • Handle phone inquiries, coordinate meetings and appointments, and manage calendars.
  • Execute administrative tasks, including the creation and maintenance of both electronic and physical filing systems.
  • Draft communications such as memos, invoices, emails, reports, and other correspondence.
  • Fulfill operational requirements by scheduling and delegating tasks while expediting work outcomes.
  • Demonstrate courteous and professional communication through phone, email, and mail.
  • Maintain and update various databases and schedules as necessary.
  • Assist the team by performing tasks related to organization and effective communication.
  • Ensure the functionality of equipment by completing preventive maintenance, requesting repairs, managing equipment inventories, and evaluating new tools and techniques.
  • Provide information by responding to inquiries and requests.
  • Oversee supply inventory by assessing stock levels, anticipating needs, and placing orders for supplies.
  • Contribute to team objectives by achieving related results as required.
  • Exhibit the ability to prioritize and manage multiple tasks in a dynamic environment.
  • Perform minor IT setup tasks, including the configuration of laptops, monitors, and docking stations.
