Job Summary

The Healthcare Administrative Assistant is responsible for a range of clerical tasks and front desk operations that facilitate patient care activities. This role ensures smooth patient flow and effective communication within the department, as well as with referring physician offices and organizational staff. The assistant interacts with patients, their families, and the public in a courteous manner, adhering to established standards.

Key Responsibilities

  • Welcomes visitors and manages incoming calls.
  • Handles copay collections, cash drawer reconciliation, and prepares monthly financial deposits.
  • Gathers initial demographic and clinical information from patients and accurately inputs it into the medical records system.
  • Organizes and prepares patient charts.
  • Assists in coordinating patient scheduling, including confirmations, cancellations, and rescheduling.
  • Communicates schedule changes promptly to all relevant parties, including clinical staff and supervisors.
  • Maintains accurate information and utilizes various software applications to schedule appointments, enter charges, and manage patient data.
  • Ensures that patient charts are complete with all necessary documentation prior to procedures.
  • Performs patient tests as directed by medical staff during the patient's visit.
  • May work across various departments as needed and assist clinical staff with patient interactions.
  • Upholds patient confidentiality at all times.
  • Contributes to the continuous quality improvement initiatives.

Qualifications

  • High School diploma or equivalent required.
  • Bachelor's degree in a healthcare-related field is preferred.
  • A minimum of 2 years of experience in a medical front office or similar administrative role is required.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Experience in clerical tasks such as filing, telephone handling, and basic accounting.
  • Typing speed of at least 35 words per minute.
  • Familiarity with medical terminology and anatomy is essential.
  • Experience in an acute healthcare environment is preferred.
  • Knowledge of healthcare database systems is a plus.
  • Understanding of insurance processes is advantageous.
