Job Summary

The Coordinator, Academic Services, plays a critical role in the Office of Instruction by overseeing the scheduling process, ensuring compliance with Title 5 regulations and attendance accounting guidelines. This position works closely with the Academic Services Technician and Senior Administrative Assistants to ensure accurate course scheduling and data entry in Banner. The Coordinator establishes the annual scheduling calendar, communicates deadlines and information to academic divisions and deans, and provides technical assistance and guidance to division staff and faculty.

Responsibilities
  1. Coordinate and monitor technical operations for academic scheduling, curriculum development, and catalog production.
  2. Perform complex research and analysis, and reporting functions with college-wide and/or District-wide impact.
  3. Train staff on all aspects of course scheduling, curriculum processes, and catalog production.
  4. Ensure program compliance, reporting, and accountability in accordance with federal and state regulations and District policies and procedures.
  5. Provide technical assistance, guidance, and support to division staff and faculty.
  6. Collaborate with Educational Technology Services in the development of process mapping, user testing, and analysis of problems encountered during testing phases.
  7. Prepare and maintain documentation for scheduling processes.
  8. Work in coordination with other District offices in support of scheduling, curriculum review and approval processes, and/or catalog production.
  9. Serve on committees as assigned, advising, consulting, communicating, and assisting committees with weekly agendas, minutes, and materials packets as needed.
  10. Respond to inquiries and requests for information, interpreting and applying regulations, policies, procedures, systems, rules, and precedents.
  11. Stay abreast of new trends and innovations in the field of curriculum and scheduling, monitoring changes in laws, regulations, and technology that may affect college or District operations.
Requirements
  • Understanding of, sensitivity to, and respect for the diverse academic, socio-economic, ethnic, religious, and cultural backgrounds, disability, and sexual orientation of community college students, faculty and staff.
  • Any combination of training and experience which would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: equivalent to graduation from an accredited four-year college or university with major coursework in education or a related field AND three (3) years of increasingly responsible experience providing support for curriculum and schedule development or related experience in an academic setting.
Working Conditions

Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Standing in and walking between work areas is frequently required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification frequently bend, stoop, kneel, and reach to perform assigned duties, as well as push and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 15 pounds with the use of proper equipment.
