Job Description

Key Responsibilities:
  • Administrative Oversight: Oversee day-to-day office operations, including managing administrative staff and ensuring that office tasks are completed efficiently.
  • Facility Management: Manage office facilities, including space planning, maintenance, and supplies procurement, to create a comfortable and functional workspace.
  • Office Procedures: Develop and enforce office policies and procedures to ensure a productive and organized work environment.
  • Calendar and Schedule Management: Coordinate and schedule meetings, appointments, and events for staff, executives, and clients as needed.
  • Communication: Serve as a central point of contact for internal and external communications, handling inquiries, phone calls, and correspondence.
  • Office Supplies and Inventory: Manage office supply inventory, order necessary supplies, and maintain cost-effective procurement processes.
  • Vendor Relations: Liaise with vendors, service providers, and contractors, ensuring contracts are in place, and services meet company needs and standards.
  • Financial Administration: Assist in budget preparation, monitor expenses, and track office-related costs to ensure fiscal responsibility.
  • Onboarding and Offboarding: Coordinate the onboarding process for new employees, including workspace setup, equipment allocation, and training. Manage the offboarding process for departing employees.
  • Recordkeeping: Maintain accurate records, files, and documentation related to office operations, contracts, and personnel.
  • Health and Safety: Ensure compliance with health and safety regulations, conduct safety drills, and implement emergency procedures.
  • IT Support: Collaborate with IT personnel to address office technology needs, troubleshoot issues, and manage equipment.
Requirements:
  • Education: High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Experience: Proven experience in office management or a similar administrative role.
  • Skills: Strong organizational and multitasking skills. Proficiency in Microsoft Office Suite and office management software. Excellent communication and interpersonal abilities. Problem-solving and decision-making skills. Attention to detail and commitment to maintaining a well-organized office.
  • Leadership: Leadership and supervisory experience.
  • Knowledge: Knowledge of workplace health and safety regulations.
  • Characteristics: Ethical and trustworthy, with the ability to handle sensitive information discreetly.
