Position Overview

Harbor, Inc. is actively looking for a dedicated Patient Access Specialist to provide exceptional support and engagement for potential and existing clients. This role involves assessing client needs and scheduling appointments while ensuring top-notch customer service.

Position Type: Full-time, 40 hours per week.

Qualifications:

  • An Associate's degree in business or a related field is preferred. Relevant experience in medical or mental health administrative support may be considered in lieu of a degree.
  • Proven experience in data entry is essential.
  • Strong customer service skills are a must; the ability to communicate effectively with diverse individuals and work collaboratively is required.
  • Must demonstrate flexibility, the capability to manage multiple tasks simultaneously, and possess excellent organizational skills.
  • Adherence to strict client confidentiality standards and policies is crucial.
  • Proficiency in computer usage, particularly with Microsoft Outlook and Word, is necessary.

Key Responsibilities:

  • Provide outstanding customer service in alignment with the company's service excellence standards, addressing client needs promptly and effectively.
  • Handle incoming calls in a professional and courteous manner, ensuring accurate message delivery and call transfers when needed.
  • Engage with callers to complete the scheduling process in the electronic health record system, including new appointments, follow-ups, and cancellations.
  • Collect and input admission information during initial and ongoing client interactions in accordance with Harbor's policies.
  • Ensure all necessary follow-up actions are completed, including scheduling referrals.
  • Stay informed about trends and developments relevant to essential job competencies, demonstrating continuous professional growth.
  • Recognize and appropriately respond to crisis situations by referring clients to clinical therapists or emergency services as necessary.
  • Participate in staff meetings and contribute to office committees as assigned.
  • Assist in training new staff, students, and volunteers in admission procedures.
  • Verify Medicaid and private insurance details, guiding clients towards additional funding options when needed.
