Qualifications:

  • Preferred: An Associate's degree in business or a related field. Relevant experience in medical or mental health administrative support may substitute for formal education.
  • Mandatory: Previous experience in data entry.

Key Responsibilities:

  • Provide outstanding customer service in alignment with the organization's service excellence standards, addressing client needs effectively on the first contact whenever possible.
  • Answer incoming calls in a professional, friendly, and efficient manner, ensuring clear communication and proper message delivery when needed.
  • Engage with all callers, guiding them through the scheduling process within the electronic health record system, including new appointments, follow-ups, and cancellations.
  • Collect and input admission information accurately during initial and ongoing client interactions, adhering to Harbor's policies.
  • Complete necessary follow-up tasks, including scheduling referrals as assigned.
  • Stay informed about trends and developments relevant to job competencies, demonstrating continuous professional growth.
  • Recognize and appropriately respond to crisis situations by referring clients to clinical therapists or emergency services as necessary.
  • Participate in staff meetings and contribute to office committees as required.
  • Work from any designated location as assigned.
  • Assist in training new staff, students, and volunteers on admission processes.
  • Verify Medicaid and private insurance information, guiding clients who may require additional funding through mental health resources.
