Position Objective:


The Administrative Coordinator is an essential role responsible for routine administrative and patient support tasks within a medical practice, ensuring the office or clinic operates efficiently.

The individual will report to the Office Manager (or a similar position) and will manage patient demographics and insurance documentation.

This includes performing standard duties related to patient scheduling and processing payments/copayments.

Core Responsibilities:
Welcome patients with courtesy and professionalism, and perform all front office tasks as needed.

Handle all front desk operations accurately and professionally, including answering calls, greeting patients, scheduling appointments, balancing daily collections, addressing routine inquiries, and triaging calls.

Conduct patient phone communications, including proactive care coordination, medication reminders, appointment reminders, transitional care management, and ensure thorough documentation of telephone interactions.

Assist with patient appointments, including preparation, form completion, check-in, check-out, payment collection, and follow-up actions.

Maintain patient medical records in accordance with the Center's policies.

Support inventory management and maintain office supplies.

Assist in managing patient records, including medication sheets, questionnaires, screening forms, vaccinations, and other medical documents.

Provide patients with the necessary medical wellness paperwork to complete.

Perform additional duties as assigned.

Position Requirements/Skills:
High school diploma or equivalent is required.

Ability to accurately read and write medical terminology.

Basic computer skills, including familiarity with electronic medical records.

A minimum of 1 year of experience in a medical office setting.

Proven proficiency with Google Suite software or equivalent (MS Excel and MS PowerPoint).

Physical Requirements:
Full range of body motion, including handling and transferring patients, manual dexterity, and eye-hand coordination.

Requires standing, walking, pushing, bending, kneeling, and reaching for extended periods in a clinical environment.

Ability to sit or stand for prolonged periods.

Ability to lift/carry up to 15 lbs.

Corrected vision and hearing within normal range.

Ability to operate a computer and telephone.

Must have reliable transportation.
