This role involves managing physicians’ orders and face-to-face documentation within the EMR system, ensuring compliance with regulations, and providing exceptional administrative and clinical support.

Essential Functions for our Hospice Administrative Coordinator:

  • Serve as the primary point of contact for internal and external communications, ensuring timely and accurate information relay.
  • Oversee Clinical Record Management, including organizing, preparing, filing, and receiving patient records and physicians' orders.
  • Prepare and manage outgoing documents such as physicians’ orders and face-to-face documentation, adhering to current policies.
  • Track and maintain compliance with federal and state laws related to physicians’ orders and face-to-face documentation.
  • Prepare the Interdisciplinary Group (IDG) EMR console and ensure all documentation is ready for IDG meetings.
  • Coordinate with Accounting for the processing of physicians’ orders and face-to-face documentation for billing purposes.
  • Act as a liaison to physicians and their representatives to secure signed and completed documentation.
  • Maintain and update physicians’ orders as needed, including inactivating unnecessary orders and using reporting tools for management.
  • Provide support and coverage for other positions as needed.
  • Collaborate with the patient management team to enhance customer satisfaction and improve internal processes.
  • Maintain confidentiality and manage personal health information (PHI) in accordance with organizational policies.

Requirements:

Minimum Education & Experience Requirements:

  • High School Diploma required; Associate Degree preferred.
  • At least one year of experience in a healthcare or business environment with a focus on customer service.
  • Proven track record of increasing responsibilities and/or promotions.

Knowledge, Skills & Abilities Required:

  • High attention to detail and accuracy.
  • Ability to identify problems, determine their causes, and suggest corrective actions.
  • Strong multitasking and prioritization skills to meet deadlines effectively.
  • Excellent communication and problem-solving abilities.
  • Proficient planning and organizational skills to achieve both personal and business goals.
