Role Summary The Senior Administrative Coordinator (SAC) delivers exceptional administrative assistance to members of the executive leadership team. This role involves managing the executive's schedule and enhancing the company's reputation by acting as the primary point of contact between the executive(s), key management, and team members.

The SAC will be instrumental in facilitating the daily operations of the executive(s), allowing them to concentrate on strategic initiatives and critical decision-making. We are looking for an individual who can act as a reliable partner and gatekeeper, ensuring the seamless functioning of the executive's office and contributing to the overall effectiveness of the organization.

The SAC should be innovative and thrive in a dynamic environment that prioritizes mission and results. The ideal candidate will possess the ability to exercise sound judgment in various scenarios. The SAC will independently manage projects from inception to completion and must be capable of handling a diverse range of tasks and sensitive issues with confidentiality and professionalism.

Key Responsibilities

  • Represents the Executive team by greeting visitors, managing correspondence, and organizing corporate events.
  • Schedule Management
    • Prioritizes competing demands; addresses issues promptly and follows through on projects to successful outcomes, often under tight deadlines.
    • Coordinates the executive's calendar, including meetings, appointments, and travel logistics, ensuring optimal use of the executive's time and commitments.
  • Communication
    • Aids key leaders in making informed decisions by providing historical context and serving as a liaison.
    • Completes essential tasks with a proactive approach, including drafting acknowledgment letters, personal communications, and other responsibilities that enable the executive(s) to lead effectively.
    • Acts as the primary contact for the executive, screening and prioritizing phone calls, emails, and other communications, and may draft responses on behalf of the executive.
  • Administrative Support
    • Participates as an integral member of the Executive Team, assisting in meeting coordination and attending all relevant meetings.
    • Manages expense reporting, credit card processing, and reconciliation using both manual methods and software tools.
    • Serves as a liaison with The Raymond Corporation and all associated dealers.
