Job Summary

Vaco is seeking a detail-oriented and organized Office Administrator to support our operations. As a key member of our team, you will be responsible for managing our Badging Process, Purchase Card Reports, and Office Manager responsibilities.

Key Responsibilities
  • Badging Process:
    • Manage a large number of badges (over 100) for multiple sites (NA, Dublin, Hilliard)
    • Coordinate the 2-4 week badge process, ensuring subcontractors complete background checks
    • Effective communication with clients and subcontractors regarding badge status
    • Receive and upload ticket numbers into Smart Sheets (similar to Excel)
  • Card Reports:
    • Manage a designated email address for foreman to send receipts
    • Enter receipts into software (training provided)
    • Coding and tracking receipts
    • Follow up with foreman to ensure timely receipt submission
  • Office Manager:
    • Provide administrative support, including answering phone calls and emails
    • Perform various administrative tasks, such as making copies and restocking office supplies
Requirements
  • Proficiency in Smart Sheets (or similar software) and Excel
  • Excellent communication and organizational skills
  • Ability to work independently and as part of a team
