Position Overview:
The Administrative Support Specialist plays a vital role in providing comprehensive clerical assistance to the Director of the Child Development Center and the associated staff. This position is essential for ensuring smooth operations within the center by adhering to established guidelines and procedures set forth by the University. The specialist will engage in a variety of intermediate-level administrative tasks, including front-desk customer service, managing phone communications, and maintaining organized records.

Key Responsibilities:

  • Act as the primary front desk representative for the Child Development Center, welcoming visitors, students, faculty, and staff.
  • Guide visitors and callers to the appropriate departments based on their inquiries.
  • Handle incoming calls, relay messages, and provide accurate information to callers.
  • Assist in the preparation of meeting agendas, briefing documents, and other related materials.
  • Process various forms in compliance with university protocols.
  • Proofread and distribute meeting minutes, notes, and reports as required.
  • Organize and maintain both electronic and physical files to support the operational needs of the Child Development Center.
  • Manage inventory of supplies and equipment for the center.
  • Sort, read, and distribute incoming mail to relevant personnel.
  • Familiarize oneself with and operate various office technologies.
  • Participate in ongoing staff training sessions.
  • Perform additional duties as assigned.
Qualifications:

Preferred:
- Associate or Bachelor's Degree
- At least 3 years of experience in a receptionist or administrative role
- Background in Higher Education
- Bilingual skills, preferably in Spanish
- Ability to work effectively under pressure and meet deadlines
- Familiarity with childcare programs and community collaboration partners.

Required:
- High School Diploma or GED
- Demonstrated sound judgment and discretion
- Successful completion of pre-employment health screenings
- Certification in First Aid and CPR
- Valid NC Child Care Qualified Letter
- Current physical examination and negative TB test
- Completion of NC Child Development and Early Education training
- Knowledge of child development and NC childcare regulations or relevant experience in early childhood education.

Physical Requirements:

The role requires the ability to sit or stand for extended periods, climb stairs as necessary, and occasionally lift up to 25 pounds. Specific vision abilities include close vision, and the employee must be able to communicate effectively and utilize hands for various tasks.
