Position Overview:

In alignment with Amy's Kitchen's core principle of mutual support, the Human Resources Coordinator plays a pivotal role in executing the organization's people initiatives at our production site. This role encompasses the management of our reception area, ensuring a welcoming atmosphere for visitors and guiding them according to their requirements while adhering to established protocols. As an integral member of the HR team, this position facilitates candidate engagement, onboarding processes, and employee administration. Additionally, the coordinator is responsible for various office management tasks, including mail handling, supply maintenance, and coordination of deliveries.

Key Responsibilities:

  • Warmly welcome visitors and assist them as necessary, while maintaining an organized record-keeping system to comply with safety standards and training visitors on essential operational practices.
  • Direct incoming calls and take messages as required.
  • Assist with basic inquiries regarding employee benefits, guiding staff to the appropriate resources when necessary.
  • Prepare and organize benefit documentation for new hires and orientation sessions.
  • Upload and manage employee records within the HR management system.
  • Ensure the confidentiality and security of all employee information.
  • Process leave requests through the HR system.
  • Create and manage employee identification badges and timecards, ensuring adequate stock levels.
  • Oversee the distribution of payroll checks.
  • Administer carpool and clean commute initiatives.
  • Ensure continuous coverage of the reception area and provide training for temporary reception staff on safety protocols.

Qualifications:

To excel in this role, candidates should meet the following criteria:

Education:
- High school diploma or equivalent experience.

Experience:
- One to two years of relevant administrative experience.

Skills:
- Proficiency in both Spanish and English, with strong reading and writing capabilities in both languages.
- Ability to comprehend and follow simple instructions and communicate effectively with various stakeholders.
- Basic mathematical skills for handling numerical data accurately.

Technology Proficiency:
- Familiarity with office equipment and software, including email and document management systems.

Physical Requirements:
The role requires regular communication, sitting, reaching, and occasional lifting of up to 25 pounds. Reasonable accommodations will be made for individuals with disabilities.

Work Environment:
The work setting is typically moderate in noise level, and accommodations can be arranged for those with disabilities.

Travel:
Minimal travel is expected for this position.
