About the Role

The PMO Governance & Controls Analyst plays a pivotal role in supporting the Program team through effective administrative and coordination assistance. This dynamic position demands a keen eye for detail, exceptional multi-tasking abilities, and strong prioritization skills, contributing significantly to the team's success.

Key Responsibilities
  • Maintain program repositories and ensure adherence to document management standards.
  • Provide relevant inputs for project reporting and respond to ad-hoc reporting requests.
  • Track actions and decisions, ensuring follow-up for completion where necessary.
  • Assist in creating dashboards to support management decision-making using tools like Smartsheet and Power BI.
  • Support program governance, reporting, and communications.
  • Manage RAID items and facilitate risk reviews with leadership.
  • Set up sheets, trackers, reports, metrics, and dashboards in Smartsheet for project management.
  • Deliver expert support for organizational tools, including Smartsheet and Power BI.
  • Assist the PMO Planner in analyzing the Program level plan as needed.
  • Facilitate Design Authority and manage the Change Control Board budget, ensuring compliance with the Change Request process.
  • Conduct quality checks between RICEFWU Log and Design Authority Log to mitigate project scope errors.
  • Ensure timely notification of Change Requests to third-party stakeholders.
  • Monitor the Optimus mailbox for relevant communications.

Skills, Knowledge, and Expertise
  • Experience in global business projects or transformation programs.
  • Familiarity with Smart Sheets, Power BI, and SharePoint is advantageous.
  • Proven track record in a high-profile coordination role managing multiple priorities and diverse stakeholders.
  • Strong communication skills, both verbal and written.
  • Progress towards Prince2 Foundation and Practitioner certification is preferred.
  • Exceptional attention to detail and relationship-building capabilities.
  • A proactive 'completer-finisher' with a focus on achieving results.
  • High proficiency in MS Office applications, including Word, Excel, and PowerPoint.
  • Ability to work independently and take ownership of tasks.
  • Self-motivated with the capacity to prioritize numerous parallel tasks effectively.
  • Experience working under tight deadlines without compromising quality.
  • Demonstrated adaptability in communication style to suit various audiences.
