Office Administration Supervisor

Position Overview
The Office Administration Supervisor plays a crucial role in overseeing the daily operations of support staff within a designated department. This position adheres to applicable state and federal regulations as well as institutional policies.
Key Responsibilities:
- Supervision: Lead a team of customer service personnel, which may include work-study students.
- Data Management: Assess and generate statistical reports for various programs.
- Email Management: Oversee and respond to departmental email communications.
- Communication: Manage the department's phone system, assist with incoming calls, and ensure adequate coverage for front-line services.
- Customer Support: Provide guidance and resources to students, parents, faculty, and external agencies.
- Document Processing: Scan and index financial aid documents while ensuring the security of sensitive information.
- Training Coordination: Identify and facilitate training needs for staff.
- Administrative Support: Collaborate with leadership to maintain effective departmental processes.
- Mail Processing: Handle incoming and outgoing correspondence for the department.
- Additional Duties: Perform other responsibilities as assigned.
Required Knowledge and Skills:
- Understanding of student financial aid programs and procedures.
- Familiarity with technical equipment and operating procedures relevant to the role.
- Knowledge of departmental policies and regulations.
- Proficiency in computer applications and software.
- Basic accounting principles.
- Strong communication abilities.
- Experience with Microsoft Office Suite.
- Capability to assess and evaluate student financial needs.
- Record-keeping skills.
- Leadership and supervisory skills.
- Research and analytical skills for quality assurance.
- Problem-solving abilities.
- Ability to prepare and present comprehensive reports.
- Familiarity with SCT Banner Products.
Work Schedule:
Standard working hours are Monday through Friday, from 8:00 a.m. to 5:00 p.m., with additional hours as needed.
Minimum Qualifications:
- High School Diploma or equivalent.
- One year of specialized training in business management or a related field.
- Three years of experience in administrative support, including at least one year in a supervisory role.
Note: All candidates must meet the minimum qualifications as determined by the qualifications review committee.
