Position Overview:
The Office Operations Specialist will provide support to the Music Department Chair, faculty members, and students by managing various administrative and financial responsibilities. A background in basic accounting is advantageous.
Key Responsibilities:
Assist the Music Department Chair in overseeing and documenting departmental financial records.Prepare and process payment requests for adjunct faculty, graduate assistants, and guest artists.Handle travel arrangements and reimbursement requests for faculty and students.Compile and submit monthly financial reports for the department.Support students by resolving advising holds and issuing necessary permits.Coordinate event scheduling along with classroom access and usage.Welcome and guide visitors, manage phone inquiries, and address common questions.Ensure the department is well-stocked by ordering and managing supplies.Procure music and other essential materials for ensembles and faculty members.Perform additional tasks as directed by the department.Required Knowledge, Skills, and Abilities:
Familiarity with planning, research, and analytical methodologies
Understanding of departmental operations, policies, and procedures
Awareness of relevant laws and regulations
Basic knowledge of accounting principles
Capability to design and implement organizational analysis and feasibility studies
Proficiency in conducting research and performing quantitative assessments
Ability to prepare and deliver detailed written and oral presentations
Skill in organizing and facilitating meetings and workshops
Work Schedule:
Monday to Friday
8:00 a.m. to 5:00 p.m.
Additional hours may be required based on departmental needs
Consistent and dependable attendance is expected
Additional Information:

Minimum Qualifications:
A Bachelor's Degree in public administration, business administration, or a related discipline is required.
Relevant education and/or experience may be considered in lieu of the above qualifications, subject to approval by the qualifications review committee.
