We are seeking a highly skilled Executive Assistant to provide comprehensive support to our leadership team. Key Responsibilities:
- Manage extensive travel arrangements, including complex itineraries with multiple changes and legs.
- Oversee the scheduling of multiple executives' calendars, ensuring seamless coordination of client and internal meetings through Outlook.
- Utilize Microsoft Suite effectively, with proficiency in Word, Excel, PowerPoint, and Teams; familiarity with Concur, Workday, and Salesforce is advantageous.
- Provide high-level administrative support, performing a variety of clerical duties while anticipating the needs of the team.
- Handle confidential information with discretion and professionalism.
- Responsible for calendar management, correspondence, expense reporting, travel logistics, and HR-related tasks.
- Manage incoming inquiries, conducting research and communicating promptly and professionally.
- Coordinate meetings, including video conferencing and room setup, while preparing necessary materials.
- Execute duties with meticulous planning and research to ensure high-quality outcomes.
- Undertake additional projects and responsibilities as assigned.
Essential Functions:
- Under general supervision, deliver administrative support to the leadership team, including managing complex meeting schedules and travel arrangements.
- Interact with senior leaders and external professional organizations.
- Exhibit proficiency in managing multiple calendars, ensuring no overlap between meetings and travel.
- Provide outstanding client service during all interactions with clients, vendors, and internal partners.
- Communicate effectively and decisively on assignments to minimize the need for repeated interactions.
- Serve as a professional liaison, facilitating clear and fact-based communication.
- Anticipate deliverables for upcoming milestones and prepare accordingly.
- Handle HR-related tasks, including onboarding and offboarding processes, system access, and expense management.
- Collect, compile, and analyze moderately complex data for reports and presentations.
- Conduct proactive problem-solving and assist in resolutions.
- Manage daily office operations and compose written communications as necessary.
- Maintain a high level of accuracy in a fast-paced, changing environment.
- Clearly communicate and escalate any issues or concerns.
- Assist with special projects related to events, new processes, or presentations as needed.
Qualifications:
- High School Diploma or equivalent experience required.
- Minimum of 5 years of relevant experience supporting executive management.
- Strong proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook; preferred knowledge of Workday and Salesforce.
- Reliable, proactive, and self-motivated with strong problem-solving skills.
- Ability to engage effectively with executive-level management.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Exercise sound judgment, discretion, and confidentiality in all matters.
- Demonstrated initiative and ability to work independently on both routine and complex tasks.
- Proven capability to manage multiple calendars and projects simultaneously.
