Role Summary

We are seeking an Administrative Assistant (Office Support) who will play a vital role in our office operations. This position requires a presence in the office on a full-time basis, where you will be the primary point of contact for visitors and vendors.

Key Responsibilities:

  • Welcome and assist all visitors and vendors, providing clear guidance within the office.
  • Manage incoming calls and direct them to the appropriate personnel.
  • Support the onboarding process for new team members.
  • Coordinate with vendors to ensure smooth operations.
  • Handle travel arrangements, maintain office calendars, and manage mail distribution.
  • Keep staff informed about local events and activities.
  • Ensure the office environment is organized and clean.
  • Oversee the ordering and inventory of office supplies.
  • Facilitate the scheduling of meetings, events, and conference rooms, including catering arrangements.
  • Safeguard confidential project-related information.
  • Assist project managers with various tasks related to team and project management.
  • Perform basic accounting duties, including processing vendor invoices and tracking payment statuses.
  • Carry out additional administrative tasks as required.

Qualifications:

  • A minimum of 3 years of experience in a customer service-oriented role.
  • Proficient in Microsoft Office Suite, particularly in scheduling meetings using Outlook.
  • Strong verbal and written communication skills.
  • Detail-oriented with the ability to prioritize tasks effectively.
  • Familiarity with standard business procedures and office equipment.

Preferred Qualifications:

  • Experience in the architecture, engineering, or construction (A/E/C) sector.
  • Knowledge of Deltek Vantagepoint software.
