Duties


The incumbent serves as the Administrative Assistant within the Office of Inspector General (OIG) of the United States Capitol Police (USCP).

As the Administrative Assistant, the incumbent is responsible for providing administrative assistance to the Executive Officer. Additionally, providing clerical, administrative, and financial management assistance to the Office of Inspector General.

Work is performed in compliance with the Office of Inspector General (OIG) Policies and Procedures Manual and appropriate professional standards.


  • Represent the Office of Inspector General in electronic, telephonic, and face-to-face contacts with high-ranking officials of organizations within and outside the USCP.
  • Receive all visitors to the Office of Inspector General (OIG); schedules appointments for the Inspector General (IG) and Assistant Inspector General Audits (AIGA), Assistant Inspector General Investigations (AIGI); receive incoming calls and answer non-technical questions or direct inquiries to the appropriate staff member and arrange adequate phone coverage during periods of intense activity or in his/her absence.
  • Receive OIG hotline calls, document the complaints and basic information, and then forward to the AIGI.
  • Responsible, with minimal assistance, for processing and storage of all official paperwork/documents received in the OIG. Prepare and review replies and other correspondence and action documents before passing them on to the IG, AIGA, AIGI, or Executive Officer for signature.
  • Assemble and distribute audit and advisory reports and official memoranda.
  • Perform research on a wide variety of subjects in order to provide the IG with authoritative information and material which he/she utilizes in the preparation of correspondence, reports, policy documents, etc., and in connection with his/her participation in top level committees and conferences. Data developed can entail contact and discussion with top echelon personnel in the USCP, Federal agencies, etc.
  • Maintain administrative and electronic files (clippings, working files, audit report files, archival material, etc.), and develop and maintain mailing and telephone lists and labels for the IG and Deputy IG. Ensure all files are generated and maintained in accordance with the OIG Policy and Procedures Manual.
  • Register personnel for training and arrange travel; enter and maintain training records (CPEs) and travel information on individuals in training database.
  • Use the OIG training system to query training data. Analyze information to report training compliance, deficiencies, and trends to the Executive Officer.

  • You must be a U.S. Citizen. Successful completion of a Background Investigation is required. Must complete a one year probationary period. Telework is eligible as determined by the agency policy. Must obtain and maintain a Top Secret Clearence.

    Qualifications

    In order to qualify, you must meet the education and/or experience requirements described below.


For the CP-7 level you must have one year (52 weeks) of specialized experience equivalent to at least the CP-6/GS-8 level.

Specialized experience is defined as experience which includes 1) analyzing and summarizing budget related information for the manager; 2) preparing necessary reports and ensures that automated reporting systems are up to date; 3) drafting correspondence, recommendations, reports and memoranda related to management and administrative programs and issues.

The experience requirement may be met by: Master's or equivalent graduate degree; OR 2 full years of progressively higher-level graduate education leading to such a degree; OR LL.B.

or J.D., if related.

Criminal History Check Must successfully pass a comprehensive criminal history check of the past 10 years if offered employment.

A criminal history check will be performed on applicants who accept an offer of employment. Credit Check Must successfully pass a credit check. Applicants must not be in default or delinquent on any Federal guaranteed student loans. Applicants must demonstrate a competent financial history. Financial delinquency including collection accounts, liens, repossessions, or garnishments may be a basis for disqualification.

Selective Service Registration Male applicants must provide verification of registration with the Selective Service System or must verify exemption from the Selective Service System registration because of age or military status.

Female applicants are exempt from Selective Service System registration.

Fingerprint Check Applicants' fingerprints will be submitted to the Federal Bureau of Investigation (FBI) for a check of the criminal history record.

Background Investigation Must successfully complete all components of the USCP full field background investigation. There are few automatic grounds for rejection in the USCP background investigation process. Issues of misconduct, such as illegal drug use, arrests, or convictions may not be automatically disqualifying.

However, deliberate misstatements, omissions, or intentionally withholding required information at any phase of the hiring process will result in a candidate's disqualification regardless of the nature or reason for the misstatement or omission.

The primary reason candidates fail a background investigation is due to deliberately withholding or omitting material facts. Providing false and/or misleading information may be grounds for removal from the application and selection process.
