Your Role:

As an Intellectual Property Support Specialist at BrownWinick Law Firm, you will be a vital contributor to our success.

Your responsibilities will include providing essential administrative assistance to attorneys and paralegals, managing the intricacies of intellectual property matters. In this capacity, you will help ensure the effective management and safeguarding of clients' intellectual property assets, protecting their innovations and creative works.

Key Responsibilities:

  • Accounts Receivable: Analyze aging reports, identify outstanding balances, and follow up with clients.
  • Billing: Monitor billable hours and expenses, ensuring precise client invoicing.
  • DocuSign Management: Send and oversee DocuSign requests for intellectual property documents.
  • New Matter Initiation: Gather client information and establish new matter files.
  • Engagement Documentation: Draft and ensure compliance of engagement letters.
  • Matter Transitions: Assist in the transfer of intellectual property matters from other firms.
  • Correspondence Management: Compose and dispatch patent and trademark correspondence.
  • Deadline Oversight: Track and follow up on intellectual property filing deadlines and renewals.
  • Data Management: Collect and report data from the firm's docketing system.
  • Record Organization: Maintain and organize intellectual property documentation.
  • Document Submission: File assignments and declarations with patent and trademark offices.
  • Report Distribution: Circulate weekly docket reports.
  • Invoice Review: Examine and process invoices from foreign counsel.
  • Client Payment Follow-Up: Reach out to clients regarding overdue payments.
  • Meeting Coordination: Organize monthly intellectual property team meetings and coordinate lunches.
  • CLE Management: Track and manage continuing legal education credits for attorneys.

Qualifications:

Ability to multitask, prioritize assignments, and consistently meet deadlines.

Proficient in fostering collaborative relationships and utilizing critical thinking skills to support the team and practice area.

Exceptional organizational abilities and keen attention to detail.

Skillful in developing efficient strategies to address challenges, especially under time constraints.

Strong communication skills, both written and verbal.

Preferred Qualifications:

Familiarity with NetDocs or docketing software.
