Job Overview

Position Summary: The role involves providing essential administrative assistance to the Department of PA Medicine, ensuring the smooth operation of various administrative processes, including budget management, handling applicant inquiries, scheduling events, maintaining student records, data entry and analysis, procurement, processing expense reports, adjunct administration, and overseeing student remediation efforts. Additionally, the position entails promoting the program through digital platforms and managing examination administration.

  • Facilitates administrative functions to enhance program success.
  • Contributes to the achievement of departmental goals and objectives.
  • Assists the Program Director or designated personnel with daily departmental operations.
  • Acts as the primary contact for inquiries from prospective program applicants.
  • Collaborates with faculty and staff to address departmental needs, including those of students.
  • Documents and supports student instruction, evaluation, and remediation efforts.
  • Undertakes additional administrative responsibilities as assigned to maintain an effective program.
Required Skills and Qualifications:

To excel in this position, candidates must meet the following qualifications:

  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Strong ability to read and interpret documents, with a keen attention to detail for accurate processing of information.
  • Effective organizational skills to prioritize tasks and manage workload efficiently.
  • Comprehensive understanding of the University and Department's mission and values.
  • Ability to represent the University and Department in alignment with its mission.
  • Capable of composing and responding to routine correspondence and reports.
  • Excellent verbal and written communication skills for coordinating activities and scheduling.
  • Ability to build professional relationships in a collegial and positive manner.
  • Flexibility to adapt to the evolving demands of the Department and University.
  • Commitment to maintaining confidentiality in all aspects of job responsibilities.
  • Problem-solving skills to address issues involving multiple variables in standardized situations.
  • Experience working with diverse and multidisciplinary teams.
Supervisory Duties:

May include responsibilities such as interviewing, hiring, and training staff; planning and assigning work; evaluating performance; and addressing complaints and resolving issues in accordance with organizational policies and applicable laws.

Education and Experience:
  • A minimum of an Associate's degree in business or a related field, along with two years of relevant administrative experience, or an equivalent combination of education and experience is required. Familiarity with accreditation processes is preferred.
Physical Requirements:

The physical demands of this position require the employee to sit for extended periods, use hands for tasks, and communicate effectively. Occasional standing, walking, climbing, and kneeling may be necessary. The employee must be able to lift and/or move up to 25 pounds. Specific vision abilities required include close vision. The work environment is typically quiet.
