Job Description

Position Overview: The Academic Unit Coordinator plays a vital role in supporting the various divisions of academic affairs by facilitating the ongoing operations of the academic unit. This includes performing administrative tasks such as report preparation, managing correspondence, and maintaining essential files and supplies. The role involves collaboration between the Communication Department and the Math and Computer Science Department.

Key Responsibilities:

  • Assist two Department Chairs by generating reports, gathering data, organizing meetings with stakeholders, and coordinating events at various venues.
  • Leverage software and databases (e.g., Jenzabar, MyDrury, Slate) to retrieve data and produce reports, including the management of detailed student records and coordination of student communications and events.
  • Draft routine correspondence such as memos, letters, and reports. Process purchase orders, travel advances, and reimbursements in accordance with institutional procedures and deadlines. Provide budgetary support to Deans/Directors as required.
  • Prepare mailings and type correspondence; attend meetings and prepare minutes as necessary. Produce forms, promotional materials, and programs while collaborating with print and copy services.
  • Utilize software tools to assist Chairs in entering course schedules for review by the registrar and academic affairs.
  • Act as the office receptionist when needed, providing information and assistance to visitors. Manage phone calls, record messages, and schedule meetings or appointments as requested. Greet and direct visitors, and handle mail and packages for various departments. Maintain office equipment and supplies, submitting work orders as necessary.
  • Undertake special projects as assigned.

Required Skills and Qualifications:

  • A high school diploma or equivalent, along with three years of demonstrated administrative experience, or an equivalent combination of education and experience is essential. An Associate's degree or higher is preferred.
  • Proficient computer skills, particularly in Microsoft Office, with good design capabilities and prior web experience being advantageous. An eagerness for continuous skill development is important.
  • Exceptional written communication and proofreading abilities, with a keen attention to detail.
  • Ability to maintain confidentiality regarding all materials handled during job responsibilities.
  • Understanding of program deadlines and the academic processes related to the departments.
  • Capability to prepare reports, business correspondence, and procedural manuals.
  • Aptitude for interpreting various instructions presented in written, verbal, diagrammatic, or schedule formats.
  • Creativity and flexibility in approach.
  • Professional demeanor for interacting with students, faculty, and campus visitors.
  • Ability to manage stressful situations calmly and accurately, ensuring timely completion of tasks while engaging with the public.
  • Capacity to work independently, organizing and prioritizing workload effectively.
  • Analytical skills necessary for maintaining records and preparing reports.

Education and Experience:

  • A high school diploma and three years of proven administrative experience; or an equivalent combination of education and experience is required.
  • An Associate degree or higher is preferred.
