Job Overview

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. The ideal candidate will be dependable, trustworthy, and thorough in their approach to tasks. This role will play a pivotal part in ensuring the smooth operation of daily activities, managing schedules, coordinating meetings, and handling client requests. This position requires exceptional communication skills, the ability to prioritize tasks effectively, and a proactive attitude toward problem-solving.


Key Responsibilities

  • Calendar Management: Maintain and organize executive calendars, scheduling meetings, appointments, and travel arrangements efficiently.


  • Communication: Act as a primary point of contact for a limited number of clients.


  • Document Preparation: Assist in preparing and editing reports, presentations, and other documents, ensuring accuracy and attention to detail.


  • Travel Arrangements: Arrange travel logistics, including flights, accommodation, and transportation.


  • Expense Management: Manage expense reports and reimbursements, maintaining accurate records and ensuring compliance with company policies.


  • Task Prioritization: Prioritize tasks effectively to meet deadlines and ensure efficient workflow.


  • Problem Solving: Proactively identify and address issues, providing solutions and recommendations as needed.


Requirements

  • Proven experience as an executive assistant or in a similar role.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy, committed to delivering high-quality work.
  • Excellent communication skills (written/verbal) and ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft 365, QuickBooks, and other relevant software applications.
  • Ability to work independently with minimal supervision.
  • Flexibility and adaptability to changing priorities and deadlines.
