Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Beacon Hill. As a key member of our office support team, you will be responsible for providing exceptional administrative support to our clients and staff.

Key Responsibilities
  • Reception and Office Services:
    • Ensure the office is well-maintained and organized, including the reception area, conference rooms, and other common areas.
    • Provide exceptional customer service to clients and visitors, including greeting and directing them to the appropriate person or area.
    • Manage the office's daily operations, including mail and package delivery, and ensure that all tasks are completed in a timely and efficient manner.
    • Assist with the coordination of office events and meetings, including setting up conference rooms and arranging for catering and other logistics.
    • Develop and maintain relationships with vendors and other external partners to ensure seamless service delivery.
  • Administrative Support:
    • Provide administrative support to our clients and staff, including data entry, filing, and other tasks as needed.
    • Assist with the preparation of reports, presentations, and other materials as required.
    • Develop and maintain accurate and up-to-date records and databases.
    • Perform other administrative tasks as needed to support the smooth operation of the office.
Requirements
  • Bachelor's degree in a related field (e.g. business administration, communications).
  • Minimum 1+ years of experience in an administrative role, preferably in a fast-paced office environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to work effectively with clients, staff, and external partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other software applications as required.
  • Ability to work in a team environment and contribute to the achievement of team goals and objectives.
