Position Overview

As a vital member of our healthcare team, the Healthcare Administrative Assistant plays a crucial role in ensuring smooth operations within the Internal Medicine department. This position requires a blend of administrative skills and patient interaction, contributing to a positive experience for all patients and visitors.

Key Responsibilities

Core Duties Include:

  • Welcome patients and visitors with professionalism and empathy, ensuring their comfort and confidentiality throughout their visit.
  • Utilize the scheduling system to coordinate patient appointments, determining the type of appointment, preferred provider, and suitable time slots.
  • Handle incoming phone calls, documenting necessary information in the electronic medical record (EMR) system, and returning calls to patients and healthcare providers as needed.
  • Verify and confirm patient appointments, ensuring all details are accurate and up-to-date.
  • Respond promptly to routine inquiries, adhering to established office protocols to facilitate effective communication.
  • Prepare and maintain patient records, ensuring all information is current and accurate for both new and returning patients.
  • Mail informational materials to new patients prior to their appointments, and liaise with agencies to gather essential patient information.
  • Check patients in by updating demographic details and confirming insurance information at each visit.
  • Assist patients with the checkout process, scheduling follow-up appointments and coordinating referrals to other healthcare providers as necessary.
  • Initiate and manage authorization calls to insurance companies for referrals, ensuring compliance with established policies.
  • Document patient visits accurately by entering diagnosis and service codes from encounter sheets.
  • Collect co-payments for services rendered, providing receipts to patients as required.
  • Reconcile daily encounter forms and payment collections to maintain accurate financial records.
  • Manage incoming and outgoing mail, ensuring timely distribution and processing.
  • Perform administrative tasks such as photocopying, faxing, and filing documents as needed.
  • Type correspondence and maintain a tidy work environment to promote efficiency.
  • Demonstrate adaptability by responding to changing priorities and assisting colleagues as necessary.
  • Maintain patient confidentiality at all times, adhering to privacy regulations and standards.
  • Participate in required meetings and training sessions to enhance skills and knowledge.
  • Exhibit flexibility in performing various duties within the office as workload demands.
Qualifications

Education Requirements:

  • A high school diploma or GED is required. Completion of a Medical Secretary program with at least one year of experience in a healthcare setting is preferred.
