Key Responsibilities
- Provide administrative support to the tax team, including managing schedules, organizing meetings, and handling correspondence.
- Accurately process, organize, and file tax documents, ensuring compliance with deadlines and firm protocols.
- Track and monitor all tax-related deadlines to ensure timely submissions and filings.
- Assist in the processing and filing of tax returns and other tax-related documents.
- Maintain and update client files and tax records in both physical and digital formats, ensuring data integrity and accessibility.
- Serve as a primary point of contact for client inquiries, delivering exceptional customer service and ensuring client needs are promptly addressed.
- Coordinate the collection and organization of tax-related information from clients, ensuring completeness and accuracy.
- Assist with the organization and maintenance of tax reference materials.
- Support the tax team with special projects and other administrative tasks as needed, contributing to the overall efficiency of the department.
- Uphold the confidentiality and security of all sensitive information in accordance with firm policies and legal requirements.
Qualifications
- High school diploma or equivalent.
- Proven experience as an administrative assistant, preferably in a tax or accounting environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with tax software (e.g., CCH Axcess) is a plus.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Exceptional attention to detail and a commitment to accuracy in all tasks.
- Ability to handle sensitive and confidential information with the highest level of discretion.
- Strong verbal and written communication skills, with the ability to interact effectively with clients and team members.
- A collaborative mindset with the ability to work independently and as part of a team.
