Position Summary:

The Administrative Assistant will be responsible for coordinating various activities within the Nursing Program and ensuring smooth operations. This position involves direct interaction with students, faculty, and the public, playing a crucial role in maintaining the integrity and efficiency of the nursing programs. Key responsibilities include managing documentation related to student immunizations and maintaining accurate records for NCLEX compliance.

Key Responsibilities:

  • Establish and manage confidential files, including student and personnel records.
  • Oversee inventory and maintenance records for office supplies and equipment.
  • Assist in the procurement and management of lab supplies.
  • Record minutes during meetings and ensure their distribution.
  • Handle incoming calls and direct them appropriately.
  • Support front desk operations as required.
  • Maintain electronic filing systems for accreditation purposes.
  • Assign student mentees to faculty members.
  • Monitor student medical compliance and notify relevant parties of any issues.
  • Communicate clinical assignments to students and faculty.
  • Submit necessary medical documentation to clinical facilities.
  • Ensure collection of required evaluations from students and faculty.
  • Assist in coordinating clinical activities.
  • Manage exam schedules and arrange for proctors.
  • Track completion of graduation requirements and prepare necessary documentation.
  • Support the Director in gathering data related to graduate performance and program needs.
  • Maintain compliance with OSHA regulations.
  • Assist in onboarding new faculty and staff.
  • Collaborate with IT on program software evaluations.
  • Coordinate health-related events and activities.
  • Participate in student orientation and informational sessions.
  • Assist with special ceremonies as needed.
  • Perform additional duties as assigned by the Program Administrator.

Qualifications:

Experience:

  • Proficient in standard office equipment operation.
  • Effective communication skills with diverse populations.
  • Familiarity with Google Workspace, including document management.
  • Knowledge of basic office management principles.
  • Ability to work independently and maintain organizational efficiency.
  • Flexibility to work varied hours, including evenings.
  • Professional demeanor and appearance.

Education:

  • High School Diploma or equivalent required.
  • Associate Degree or higher preferred.
