Job Summary

We are seeking an experienced Accounting Specialist to join our team in Syracuse. As an Accounting Specialist, you will play a crucial role in maintaining the financial health and integrity of our organization. You will be responsible for a variety of accounting tasks, including billing coordination, data entry, review and verification, dispute resolution, relationship management, reporting and analysis, process improvement, and documentation.

Key Responsibilities
  • Collaborate with various departments to obtain necessary information for invoice creation and resolve any discrepancies.
  • Enter and update customer information, sales data, and billing details into the invoicing system accurately and efficiently.
  • Perform thorough reviews of invoices for accuracy, completeness, and compliance with company policies and customer requirements.
  • Investigate and resolve billing inquiries, disputes, and discrepancies promptly and professionally, ensuring customer satisfaction.
  • Communicate with clients and internal stakeholders regarding invoice-related matters, providing exceptional customer service and building strong relationships.
  • Prepare periodic reports on billing activities, outstanding balances, and aging analysis to support financial decision-making processes.
  • Identify opportunities to streamline and improve the invoicing process, suggesting and implementing effective solutions to enhance efficiency and accuracy.
  • Maintain proper documentation of invoice-related activities, including correspondence, adjustments, and any other relevant records.
  • Ensure compliance with applicable regulations, laws, and company policies related to billing and invoicing.
Requirements
  • High School Diploma or equivalent; associate or bachelor's degree.
  • Strong numerical aptitude and attention to detail, with the ability to analyze and interpret financial data accurately.
  • Proficiency in using accounting software and invoicing systems; knowledge of ERP systems is a plus.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Exceptional communication skills, both written and verbal, with the ability to effectively interact with clients and internal stakeholders.
  • Problem-solving and critical-thinking abilities, with a proactive approach to resolving issues.
  • Strong customer service orientation and a commitment to providing outstanding service to clients.
  • Ability to work independently as well as collaboratively within a team environment.
  • Proficiency in Microsoft Office Suite, particularly Excel, for data entry, analysis, and reporting.
