Property Management Associate

Job Overview

This role is integral to the efficient operation of our properties at BGSF. The Property Management Associate will assist in various administrative and operational tasks to ensure tenant satisfaction and property upkeep.

Key Responsibilities:

  • Foster and sustain positive relationships with tenants, vendors, and service providers.
  • Oversee financial transactions related to properties, including invoice processing and entry into financial systems.
  • Handle tenant inquiries and manage service requests through the work order system, coordinating with maintenance staff.
  • Support the Property Manager in the procurement process for contracted services.
  • Draft and distribute commencement notices and rent initiation letters.
  • Assist in the preparation of the annual budget and related financial documents, including CAM, tax, and insurance billings.
  • Manage rent collection processes effectively.
  • Conduct regular property inspections to ensure all facilities are well-maintained and operational.
  • Prepare and update monthly rent roll reports.
  • Assist in overseeing capital improvement projects.
  • Prepare annual CAM billings and assist with reconciliations.
  • Ensure accuracy in lease administration and rent roll management.
  • Review monthly financial reports, tenant accounts, and outstanding receivables.
  • Communicate any incidents or potential risks to effectively manage property-related liabilities.

Required Qualifications:

  • Prior experience in Commercial Property Management is essential.
  • Familiarity with commercial lease agreements is necessary.
  • Proficient in the MS Office suite.
  • Strong verbal and written communication skills.
  • Excellent organizational abilities and time management skills, with a focus on prioritizing tasks.
  • Meticulous attention to detail.
  • Ability to thrive under pressure and meet tight deadlines.
  • Skilled in multitasking.
  • Experience with property management software such as Yardi or PM 2000 is advantageous.
  • Familiarity with work order management systems is a plus.
  • Experience in managing maintenance and janitorial staff is beneficial.

Education & Experience:

  • A High School Diploma is required; an Associate's Degree is preferred.
  • At least one to two years of experience in commercial property management is required.
