Position Overview

The Property Management Associate plays a crucial role in delivering exceptional property management services and supports the Property Manager in overseeing a diverse portfolio of commercial properties. Key responsibilities include addressing operational issues, fostering tenant relations, coordinating vendor schedules, and enhancing customer service.

KEY RESPONSIBILITIES:
  • Assist Property Managers in the management of a commercial real estate portfolio.
  • Maintain tenant and vendor relationships, ensuring contracts and Certificates of Insurance are current.
  • Coordinate property scheduling and communication with tenants and vendors.
  • Support accounting, reporting, and budgeting activities.
  • Assist with lease administration tasks.
ADDITIONAL DUTIES:
  • Collaborate with Property Managers to resolve operational challenges.
  • Work closely with vendors to ensure adherence to service agreements.
  • Recommend and/or finalize vendor contracts as necessary.
  • Ensure compliance with property owner policies and relevant regulations.
  • Answer office calls and assist callers as needed.
  • Receive and manage work order requests, coordinating with technicians or vendors.
  • Schedule building activities, including move-ins and move-outs, and verify insurance coverage.
  • Follow established accounts receivable procedures, including tenant communications regarding rent payments.
  • Review invoices for accurate coding prior to payment.
  • Assist in preparing monthly financial reports and packages as per owner requirements.
  • Support the Property Managers in developing and implementing annual operating and capital budgets.
  • Facilitate insurance procurement and tax review processes as needed.
  • Ensure compliance with management agreements.
  • Collaborate with Property Managers on accounting, leasing, marketing, and construction needs.
  • Understand various lease types to assist in compliance monitoring.
  • Process tenant billback expenses.
  • Assist with after-hours emergency response as required.
  • Help plan and execute tenant events in collaboration with the management team.
Qualifications
  • Bachelor's Degree preferred.
  • 3-5 years of experience in the Commercial Property Management sector preferred.
  • Exceptional customer service skills.
  • Strong verbal and written communication abilities; experience in professional interactions with tenants and vendors.
  • Familiarity with real estate software (Yardi, MRI, Kardin, AvidXchange, IMPAK, or similar).
  • Basic accounting knowledge and skills.
  • Excellent organizational capabilities.
  • Attention to detail.
  • Ability to manage multiple tasks effectively.
  • Proficiency in Microsoft Excel and Word.
  • A desire to learn and grow within Stream's property management division.
