POSITION SUMMARY:

The Senior Vice President of Administrative Operations at Trinity Logistics plays a crucial role in overseeing and directing all facets of administrative functions, including Credit and Collections, Claims Management, Carrier Compliance, Customer Support, and Billing Services. This position is essential for ensuring that these operations run smoothly and efficiently, in alignment with the strategic goals of the organization. Working in close partnership with the Chief Financial Officer, the Senior Vice President formulates and executes comprehensive corporate and operational strategies, propelling these initiatives throughout the administrative operations team. This role requires outstanding leadership, management skills, and a visionary approach to establish effective operational controls, administrative protocols, and personnel systems. The ultimate aim is to provide exceptional service to the company’s profit centers, clientele, and carriers, thereby enhancing financial stability and operational effectiveness. The Senior Vice President must be skilled in utilizing technology to improve efficiency and foster innovation within the administrative operations team. Success in this role necessitates a strong commitment to continuous learning, a strategic and inventive mindset, and the capacity to create innovative solutions that meet the needs of both internal and external stakeholders while ensuring the successful integration of technological advancements into operational workflows.

KEY RESPONSIBILITIES:

  1. Strategic Leadership:
    1. Direct and oversee all administrative operations, including Credit and Collections, Claims Management, Carrier Compliance, Customer Support, and Billing Services, ensuring optimal performance.
    2. Align administrative functions with the strategic vision of the organization, bolstering financial health and operational efficiency.
  2. Collaboration and Strategy Implementation:
    1. Work closely with the CFO to develop and implement comprehensive corporate and operational strategies.
    2. Lead strategic initiatives across the administrative operations team, ensuring effective execution and facilitation.
  3. Visionary Leadership:
    1. Provide exemplary leadership and management, establishing strong operational controls, administrative procedures, and personnel systems.
    2. Ensure exceptional service delivery to the company’s profit centers, clientele, and carriers.
  4. Technology and Efficiency:
    1. Utilize technology to enhance operational efficiency and promote innovation within the administrative operations team.
    2. Incorporate technological advancements into operational processes, ensuring effective utilization.
  5. Performance Monitoring:
    1. Develop and manage performance metrics, dashboards, and accountability measures to ensure the team meets and improves key performance indicators.
    2. Monitor and report on the progress of all objectives within the area of responsibility, addressing any issues, concerns, strategies, and solutions.
  6. Process Optimization:
    1. Design processes and efficiencies to transition the Administrative Operations team to an exception-based functionality, enhancing reporting capabilities to identify areas for improvement.
  7. Talent Development:
    1. Encourage a culture of continuous learning and development within the administrative operations teams to build a strong talent pipeline. Ensure team members are prepared to advance in their current roles and explore other opportunities within the administrative function.
  8. Industry Insight:
    1. Remain informed about market and industry trends relevant to the administrative operations team.
    2. Represent the organization at community and industry events as necessary.
    3. Engage and network regularly with industry and community business leaders.
  9. Participate in special projects and perform other duties as assigned.

QUALIFICATIONS:

  1. Proven ability to build and maintain strategic relationships with a diverse range of stakeholders, fostering collaboration and trust at all organizational levels.
  2. Bachelor's degree required, preferably in business, finance, or a related field; advanced degree or MBA is highly preferred.
  3. A minimum of 5 years of demonstrated experience leading and managing high-performing cross-functional teams within a complex organizational environment.
  4. Preferred experience of 5 years in the transportation industry.
  5. Proven track record of analyzing and redesigning processes and procedures to improve operational efficiencies and drive continuous improvement.
  6. Strong ability to identify trends, assess complex data sets, and implement innovative solutions to mitigate risks and resolve challenges effectively.
  7. Exceptional verbal, written, and presentation skills, with a history of engaging and influencing executive-level audiences.
  8. Ability to cultivate and maintain strong relationships with a wide range of stakeholders, including team members, senior leadership, and external partners.
  9. Willingness and ability to travel up to 20% of the time to engage with stakeholders and support business initiatives.

WORK ENVIRONMENT:

This position operates in a traditional office setting. While performing the duties of this role, the employee is regularly required to communicate effectively. The employee frequently needs to stand, walk, and use hands, arms, and fingers to handle and lift objects weighing up to 10 pounds.
