Position: Accounts Receivable Specialist and Project Support

Company: Northstar Construction Services

Northstar Construction Services, a prominent Texas-based General Contractor specializing in commercial development and construction, is seeking a skilled Accounts Receivable Specialist to bolster our Accounting team. This role will also encompass responsibilities related to Project Coordination as necessary.

Key Responsibilities

Accounts Receivable Duties (70%):

  • Support daily accounting operations, including General Ledger, Accounts Receivable, Accounts Payable, Fixed Assets, and Job Costing.
  • Assist in Payroll management and the preparation of related tax filings on a weekly, monthly, quarterly, and annual basis.
  • Conduct audits and verify the usage of customer and company credit cards.
  • Perform entries, reconciliations, and analyses for general ledger and bank accounts.
  • Prepare and file sales/use tax, mileage tax, property tax, and workers' compensation reports.
  • Compile monthly, quarterly, and annual reports on Inventory and Manufacturing Costs.
  • Facilitate month-end and year-end closing processes.
  • Contribute to the analysis of annual costs and coverage for employee benefits and insurance.
  • Manage external audits, including general liability, workers' compensation, sales and use tax audits, and annual insurance renewal audits.
  • Prepare and review timely financial statements on a monthly, quarterly, and annual basis.
  • Generate financial analyses and reports as required.
  • Develop and implement new policies and procedures in alignment with changes in GAAP and company operations.
  • Coordinate the Annual Review and Tax Returns with the external CPA.
  • Ensure compliance with accounting policies and internal control measures.

Project Coordination Duties (20%):

  • Provide critical analysis of submittals, shop drawings, and project specifications to support field and office operations.
  • Coordinate and monitor the RFI, ASI, and IDC processes.
  • Create and submit Work Orders and Purchase Orders as directed by senior management.
  • Assist in tracking project budgets and expenses.
  • Maintain accurate records for projects, including contracts, permits, and approvals.
  • Support the creation and submission of weekly customer reports.
  • Review daily project reports for clarity and accuracy.
  • Assist Construction Administrators and other team members with various administrative tasks as needed.
  • Follow up and coordinate with team members and consultants effectively.
  • Promote safety and assist in implementing all Health, Safety, and Environmental (HSE) programs, policies, and procedures.
  • Collaborate closely with project managers, construction teams, and subcontractors to ensure seamless project execution.
