Position Overview
Under the general guidance of the Hospitality and Events Manager at Black Stallion Winery, the Trade Hospitality & Events Coordinator plays a pivotal role in organizing, planning, and executing exclusive private and internal events at the winery. This position is essential in ensuring a remarkable hospitality experience for trade guests visiting the estate.
Key Responsibilities
Responsibilities encompass the development and management of meals, meetings, and events tailored to the winery's and clients' needs. The coordinator will assist the Hospitality and Events Manager with administrative and logistical tasks related to trade hospitality, including:
- Processing and scheduling hospitality requests.
- Maintaining all event calendars.
- Collaborating with the sales team to prioritize trade visits.
- Creating personalized guest experiences.
- Executing trade events efficiently.
Functional Duties
Essential tasks include:
- Organizing and conducting wine tastings, tours, and educational activities for VIP, International, and Trade guests to highlight Black Stallion wines.
- Overseeing the setup and breakdown of event spaces.
- Managing billing for events and hospitality services.
- Facilitating guest cottage check-ins and check-outs, providing walkthroughs, and explaining amenities and emergency procedures.
- Executing sales and internal requests for guest visits and specific requests as per hospitality forms.
- Maintaining hospitality inventory in guest cottages.
- Acting as the primary contact in the absence of the Hospitality and Events Manager.
- Building strong relationships between trade guests and the winery team.
- Assisting in establishing luxury standards for guest service and wine tasting experiences.
Event Management
For events, responsibilities may include:
- Creating and managing proposals, contracts, and event orders, including timelines and vendor contracts.
- Planning and executing private and company-sponsored hospitality events.
- Maintaining a calendar of events and securing necessary resources.
- Acting as Event Captain, supervising staff to ensure smooth event operations.
- Handling inquiries related to trade, corporate, and private events.
Qualifications
Education and Experience:
- High School diploma or equivalent; an Associate degree is advantageous.
- Three years of experience in managing events.
- Experience in the wine industry is highly preferred.
Certificates and Licenses
Must possess:
- A valid driver's license and clean driving record.
- TIPS certification or obtain within 90 days of employment.
- CA food handler's certification.
- Must be at least 21 years old.
Skills and Abilities
Ideal candidates will demonstrate:
- Meticulous attention to detail and strong organizational skills.
- Proactive planning and problem-solving abilities.
- Exceptional communication skills, both verbal and written.
- Excellent customer service skills and a professional demeanor.
- Strong computer proficiency, particularly in MS Office.
- A solid understanding of the wine industry.
Working Conditions
The role involves both indoor and outdoor environments, with exposure to varying weather conditions. Extended hours and shift rotations may be required, including weekends and holidays.
