This full-time position is primarily responsible for managing a variety of general office activities by performing the following duties.
Key Responsibilities- Ensure security, integrity, and confidentiality of data.
- Ensure adherence to office policies and procedures.
- Monitor and maintain office supply inventory at all sites.
- Review and approve office supply acquisitions for all sites.
- Provide exceptional customer service to clients and employees at the front desk.
- Manage meeting room schedules and ensure timely communication with team members.
- Receive, record, and distribute packages and mail in a timely manner.
- Assist with travel arrangements for employees as needed.
- Maximize office productivity through proficient use of software applications.
- Manage internal staff relations with Human Resources assistance.
- Maintain a safe and secure working environment.
- Maintain and implement hardcopy and digital filing systems.
- Research and develop resources to create timely and efficient workflow.
- Establish uniform correspondence procedures and style practices.
- Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
- Work with the Executive leadership team to plan office layout, develop an office budget, and initiate cost reduction programs.
- Analyze and organize office operations and procedures to ensure maximum efficiency.
- Perform maintenance of office equipment and furniture, including cleaning, maintenance, repairs, and replacement as needed.
- Assist with planning and organizing company events with the Executive Team and Human Resources.
- Carry out daily invoicing for all customers and manage invoicing-related communications with customers.
- Associate degree (A.A.) or equivalent from a two-year college or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.
- Knowledge of Accounting software, Contact Management systems, Database software, Internet software, and Microsoft Office Suite of Programs.
- Residency in Arizona and ability to commute daily to our headquarters in Phoenix, Arizona.
