The Travel and Administrative Services Associate will be responsible for providing comprehensive travel, transportation, and administrative assistance to the U.S. Agency for International Development (USAID) Bureau for Management, Office of Management Services, Travel and Transportation Division.

Key Responsibilities

  • Assist with the USAID travel program, guiding Agency personnel on international travel, passport, and visa requirements.
  • Manage the Travel and Transportation communication channels, directing inquiries to the appropriate contacts.
  • Act as a subject matter expert for the USAID passport and visa processes.
  • Interpret and clarify the documentation needed for passport and visa applications.
  • Review applications and supporting documents for compliance with citizenship proof requirements.
  • Stay updated on international travel guidelines and regulations.
  • Collaborate with foreign embassies to ensure visa requirements are met.
  • Work closely with employees to facilitate passport and visa preparations prior to travel.
  • Coordinate with the Special Issuance Agency to secure official and diplomatic passports.
  • Ensure accuracy in passport and visa applications before submission.
  • Confirm appointments, take passport/visa photographs, and manage application submissions.
  • Maintain a database for tracking passport and visa information.
  • Develop expertise in the E2 travel system for managing visa and passport documentation.
  • Deliver passports and visas to travelers and serve as the primary point of contact for the Travel and Transportation Division.
  • Liaise with various governmental offices as necessary.
  • Maintain both electronic and physical filing systems in compliance with organizational standards.
  • Provide administrative support including document management and compliance checks.
  • Prepare and maintain communication materials such as newsletters or training resources.
  • Deliver passport and visa documents to relevant agencies and embassies.

Qualifications

  • High school diploma or GED equivalent required.
  • Minimum of 2 years of relevant experience, including:
  • Experience in a support role within government or industry.
  • Proficiency in Microsoft Office and Google Suite.
  • Familiarity with travel-related systems.
  • Experience in travel, transportation, or passport processing.
  • Ability to work effectively in a team setting.
  • Capability to manage individual tasks efficiently.
  • U.S. Citizenship required.
  • Valid driver's license is necessary.
  • Background check and eligibility for USAID Facilities Access required.
