Job Title: Patient Service Coordinator

We are seeking a highly organized and detail-oriented Patient Service Coordinator to join our team at Aligned Orthopedic Partners. As a key member of our administrative staff, you will play a vital role in ensuring the smooth operation of our office and providing exceptional patient care.

Responsibilities:
  • Manage incoming telephone calls and direct them to the appropriate personnel in a timely and professional manner.
  • Accurately document messages and forward them to therapists and personnel in a timely manner.
  • Check designated voicemail boxes regularly and ensure timely follow-up on all calls.
  • Schedule patient appointments, obtain complete and accurate medical, demographic, and insurance information, and inform patients of our practice's financial policy.
  • Explain insurance benefits to patients and direct calls to Therapy Billing as necessary for questions regarding insurance issues.
  • Manage the cancellation list, filling open slots wherever possible.
  • Ensure patients sign in and present with required referrals.
  • Generate new patient flowsheets and paperwork.
  • Ensure new patients complete appropriate forms and sign consent and financial agreements prior to their visit with the provider.
  • Accurately and efficiently enter patient information into our computer program, register new patients, and update established patient information with demographic and/or insurance changes.
  • Notify therapists or aides of patient readiness in a timely manner and seek assistance when necessary to maintain optimal patient flow.
  • Update printed schedules with add-on or cancelled appointments and promptly notify billing of any new patients added.
  • Collect co-pay, deductible, coinsurance, today's visit charges, past due visit charges, and DME payments, document payments in our computer system, and provide receipts to patients.
  • Forward all cash and checks to the Practice Administrator for preparation of the deposit slip.
  • Schedule follow-up appointments as necessary.
  • Perform tasks associated with the opening and closing of the office, including straightening the waiting room.
  • Coordinate administrative supply orders.
  • Manage the rescheduling of patients when a therapist has a change in schedule.
  • Perform basic administrative tasks, including scanning and faxing documentation.
Requirements:
  • High School Graduate
  • Excellent written and verbal communication skills
  • Able to multi-task and capable of remaining calm in a stressful situation
  • Able to use a multi-line telephone system and our billing computer program
  • Demonstrates keyboard proficiency
  • Demonstrates working knowledge of medical terminology
